Policy Statement
This policy sets standards, provides guidance and specifies Al-Ihsan Foundation International Limited ACN 168 960 361 (Al-Ihsan Foundation or Al-Ihsan)’s refund on donations received.
Purpose
The policy is designed to ensure that:
- General public donation refunds will be made on the basis of the criteria set out in this policy.
- Refunds will be processed in accordance with the procedure mentioned in this policy.
- All donors will be treated with equality and fairness.
- Risk of tax evasion through donations is mitigated.
- Al-Ihsan Foundation’s financial reporting efficiency is protected.
Scope
This policy applies to all donors of Al-Ihsan Foundation International Ltd.
Purpose
Roles and responsibilities
- Al-Ihsan Foundation’s Board of Directors are responsible for ensuring that this policy is approved.
- Al-Ihsan Foundation’s CEO and in the absence of a CEO, the Compliance manager is responsible for communicating this policy to the staff.
- Al-Ihsan Foundation Compliance Manager/ Officer is responsible for ensuring that this policy is periodically updated and is available on the website for donor access.,
- Al-Ihsan Foundation’s Front desk Officer is responsible for communicating this policy to the donors.
- Al-Ihsan Foundations Finance Officer is responsible for making an informed decision regarding request for a refund and its execution. It is important that such decisions are taken in line with the management’s approval protocols where necessary.
Policy Details
Al-Ihsan Foundation accepts donations in good faith and is committed to the highest levels of transparency and accountability with regard to the critical financial contributions we receive from our donors. With your support, we are able to help people who are desperately in need of humanitarian assistance. Generally, a donation to Al-Ihsan Foundation is not refundable. Decisions on refunds will be made on a case-by-case basis after analysis of the particular circumstances of the donation. Al-Ihsan Foundation follows the guidelines below for considering refund upon receiving a request
- We will refund your donation if there was an error made by Al-Ihsan Foundation.
- We will refund your donation if the donation was made unknowingly or through a fraudulent activity, for example in a situation where a donation was made with a stolen or lost card. Please note that Al-Ihsan may request further documentation to investigate the claim. In case of such activity, Al-Ihsan may also report the activity to the police.
- Al-Ihsan Foundation Compliance Manager/ Officer is responsible for ensuring that this policy is periodically updated and is available on the website for donor access.,
- We may refund if you have accidentally entered the wrong amount.
- We may refund if you have accidentally created a monthly donation whereas your intention was to make a one-off donation.
- We may refund in other exceptional circumstances for example, if there is evidence of supporter vulnerability
- We may refund if the request for refund is received within 30 days of the original donation.
Non-refundable donations
Al-Ihsan will not process a refund if:
- The request for refund is after 30 days of donation
- There is a change of mind.
- There is no evidence that a donation was made to Al-Ihsan Foundation.
- The receipt is not in the name of person requesting refund
- The person requesting refund is unable to provide the details of the donation and personal details required to process the donation.
- The refund is requested for a donation in a different tax year. For e.g. donations made on or before the 30th of June 2023 will not be refunded on or after 1st of July 2023 to prevent Tax evasion.
- When refunding a donation, the merchant fee, Bank fee or any relevant payment fee will not be refunded under any circumstances.
Procedure
To request a refund, a donor may send the request either in writing via email, through the contact us page on the website, via phone call, or by visiting the office in person. The following information will be requested of a donor to complete the refund:
- Your name or the name of the donor if you are authorized to request the refund
- Contact details of the donor – phone, email, address
- Date of the donation
- Amount donated
- Receipt number
- Nature of the error
- Any other information you think we should know
Should the refund be approved, any original receipt issued for the incorrect amount will immediately become void and invalid. After receiving the request, Al-Ihsan will identify if the donation is refundable. A request for a refund of a donation made through card or bank account will only be refunded to the same card or bank account, respectively.
While the standard procedure for Al-Ihsan is to not refund a cash donation, in exceptional circumstances, if a cash donation is agreed to be refunded, it will be processed to the donor’s bank account and not in cash.
Disclaimer
- Al-Ihsan reserves the right to refuse a refund unless due to an error on Al-Ihsan Foundation’s part.
- The bank fee, merchant fee, or any other relevant payment will not be refunded when refunding a donation.
- It is the donor's responsibility to review Al-Ihsan's Refund Policy, available on the website, before making a donation.
- Project-specific donations, such as one-to-one orphan aid and water wells, will not be refunded if the payment has been executed for the project.
